Email Kit: no enquiry left unanswered
An agent that spots enquiries from potential clients in your mailbox and prepares the reply with your business details. You check it and hit send. It warns you when an enquiry has been waiting too long. Works with Gmail or Outlook.
What happens to each enquiry
- 📥
1. An enquiry arrives
“Hi, I’d like a quote to redo my kitchen. Can you come and have a look?”
- 🏷️
2. Category
New enquiry
- 📝
3. Draft ready
Reply waiting in your drafts, with your next steps
- ✅
4. You approve
You read it, fix it and send it
- ⏱️
5. Warning
If an enquiry is still unanswered the next day, you get a reminder
How it works
The focus is enquiries from potential clients
Spot
Separates enquiries from new clients from everything else. Suppliers, notifications and newsletters only get a label.
Draft
Prepares the reply from your template and your business fact sheet, and leaves it in your drafts inside the conversation.
Warn
Once a day, lists the enquiries still waiting for a reply.
Measure
A simple sheet to record time to first reply, two weeks before and two weeks after.
What makes it different
Built for small businesses in Portugal
European Portuguese
Prompts, templates and examples written in European Portuguese, with the tone you choose.
GDPR checklist
What to check before connecting the agent to client emails, including sensitive data.
Approval on every send
No AI-written reply goes out without you. Only the acknowledgement, a fixed text you approve once, can be automatic.
Stays in your account
The agent runs in your own email and tool accounts. Nothing depends on us.

Who it’s for
- ✓Enquiries from new clients reach you by email and sometimes wait too long
- ✓You use Gmail or Outlook, personal or business
- ✓You want to do it yourself, with a guide, and keep control of what gets sent
Who it’s not for
- ✕You want the agent to send replies on its own
- ✕Most of your enquiries arrive by phone or WhatsApp
- ✕You’d rather have someone set it up with you: that’s what the Sprint is for
What you need
Gmail or Outlook, and 15 minutes to choose your route
Route A · Manual
Any email account and the AI assistant you already use. About 15 minutes.
Route B · Inside Gmail
For business Gmail accounts. 1 to 2 hours.
Route C · Automatic
Gmail or Outlook, with an automation account and an AI account in your name. 2 to 4 hours.
Email, automation and AI accounts stay in your name and you pay each provider directly.
Kit or Sprint?
The Kit gives you the base. The Sprint builds the rest.
With the Kit you get an agent that drafts replies in your mailbox. For it to work every day with the rest of your business, there are layers a guide can’t cover.

Human approval
No AI-written reply leaves without you
The agent prepares drafts. You decide what gets sent. The only thing that can go out automatically is the acknowledgement, a fixed text you write and approve once.
Questions
Do I need to know how to code?+
No. Route A has no automation at all and the other two are visual, with no code. Route C takes a bit more patience.
Does it work with Outlook?+
Yes. Routes A and C work with Outlook and Microsoft 365.
And with a personal Gmail account?+
Yes, with routes A and C. Route B needs a business Gmail account.
Does it handle my whole inbox?+
The focus is enquiries from potential clients. The rest (suppliers, notifications, newsletters) only gets a label.
Does the agent send emails by itself?+
No. It leaves drafts. The optional acknowledgement is the only automatic message and it’s a fixed text you approve.
Are the tool costs included?+
No. The kit is the guide, prompts and templates. The accounts stay in your name and you pay each provider directly.
What about GDPR?+
The kit includes a checklist. If your emails contain health data or other sensitive data, those emails get a label only and no AI draft. Check with a lawyer or your data protection officer.
What format is it in?+
A PDF guide plus editable files (Markdown and CSV) that open in any editor, Excel or Google Sheets.
How do I get the kit?+
Click “I want the Kit” and we reply with the payment details (bank transfer or MB WAY). Once payment is confirmed, you receive the kit as a PDF.
What if I can’t get it working?+
Book a Clareza IA Session (60 minutes) or the Agentto 48h Sprint, where Marcos sets up the agent with you.
VAT included.
